Careers and Recruiting at Mainfreight 


The party responsible for processing your personal data is Mainfreight Limited. (hereafter referred to as: “Mainfreight”). In this Privacy Statement we will explain which data we collect, what we do with it and what your rights are. We will always process your personal data in accordance with the current legislation and regulations on personal data, including the General Data Protection Regulation and the Telecommunications Act. This Statement may be amended over time; we therefore recommend that you check its content regularly. This Privacy Statement dates from June 2018, and amended August 2020.

Mainfreight will not process your personal data for any purpose other than those set out below, with which it has to be consistent. This personal data will not be stored longer than is necessary for the purpose for which it has been collected, unless a legal retention obligation applies.
Mainfreight processes your personal data on the basis of your prior consent to that effect, where such processing is necessary in order to prepare or fulfil an agreement, Mainfreight is legally obliged to do so or Mainfreight has a legitimate interest in doing so. If you have given consent for the processing of your data, you have the right to withdraw that consent any time. If such processing was based solely on your consent, it will cease immediately when you withdraw your consent.

We collect and process different types of personal data via the website https://www.mainfreight.com.

Questions about vacancies

By visiting the website, you have the ability to see which vacancies we currently have. We can imagine you may have some questions about the content of a vacancy after reading it. For this, we have added the contact details of the vacancy holders in the relevant vacant role. It is possible for you to contact the vacancy holder by e-mail or by phone. We will only process your e-mail address and/or phone number to respond to your information request.

Sending applications

To apply for a job application, we ask you to complete an application form. In this form, we ask you to fill in your name, e-mail address, phone-number and to upload your Curriculum Vitae/Resume and Motivation letter / Cover letter. We process these data based on a legitimate interest, because we use these data in order to determine whether you may be qualified for the job and to inform you about the progress during the application procedure and the final outcomes of that.

We wish to receive information that relates to your functioning at a previous employer, to determine your experience for your potential new role within Mainfreight;

Assessments:
We want to check whether your personality and competences fits within the Mainfreight Culture and your future
Mainfreight team;

Statement of good behaviour:
We need to entrust our (future) team members to be integer and reliable.

We will only ask for one (or more) of the items above, in case it is stated in the vacancy so you are informed about this before you make the choice for applying. The provision of these personal data is (legally) not mandatory, it is based on your consent. However, if you do not provide these personal data, it is possible that we are not able to assess whether you are suitable for a vacant position as a candidate. 

Visiting our business site during a job interview

If you are invited for a job interview, we would like you to visit one of our business sites. To be able to guarantee the security of visitors to Mainfreight's business site, it is possible we use camera images and registration lists. This concerns a legitimate interest on the part of Mainfreight.

Camera images

Mainfreight's business site is monitored by means of camera images in order to be able to combat crime and fraud. It is therefore possible that you are filmed when you visit our business site. This is clearly indicated on warning signs at the site. These camera images are stored for a maximum of four weeks after filming them, unless an incident has occurred. In that case the relevant images are stored until the incident has been handled.

Registration lists

To make sure that Mainfreight is aware of the number of people (including visitors) present at its business site at any time, we make use of a registration list for visitors. Each visitor must fill in this registration list, stating their name, phone number, car registration number and time of arrival and departure. In the event that any emergency occurs, Mainfreight will be able to check on the basis of these registration lists which visitors are still in the building or on the site. The registration lists are kept for one week.

Sharing of personal data

Within Mainfreight, we provide your personal data to those who are charged with the execution of the aforementioned purposes, such as intended managers, employees of the HR department and/or discussion partners if you are invited for a job interview. In addition, we provide some personal data to external parties, namely:

Assessment agencies:
With the request to invite you for joining an online assessment, and to provide us a final report with the outcomes of the assessment.

Ministry of Justice and Security:
For requesting to proceed for a Statement of Good Behavior.

Finally, we can pass on your personal data to others if this is necessary for the fulfilment of a legal obligation. We don’t share any more personal data with all the mentioned parties, as necessary for the purpose in which they receive this.
Minors: If you are 16 years old or younger, you may only choose to apply for an application under the supervision of your parents or legal representatives.

How long do we save your data?

We will retain your personal data no later than four weeks after the end of the application period. If you have given permission for us to keep your details so that we can inform you of future vacancies, we will retain your data no later than one year after the termination of the application procedure. You can withdraw this permission at any time.

Security

Mainfreight will take appropriate measures to ensure that your personal data is processed in accordance with the current legislation and regulations, and that this personal data is protected against unauthorised and unlawful processing, loss, destruction and damage. Mainfreight applies, for example, strict security procedures, partly to prevent unauthorised persons from gaining access to your personal data.

Your rights

You have the right to request Mainfreight for access to or the rectification or erasure of your personal data and the right to restrict the processing of data relevant to you. In certain circumstances you also have the right to object to specific forms of processing and the right to have your personal data transferred to you.
You will receive a response to your request within a maximum of one month. This period can be extended by two months, depending on the number of requests and/or their complexity. We will also inform you of this within one month. If your request is rejected, we will also explain the reason for this. In the event that you do not agree with the content of our response or the rejection of your request, you will have the option to submit a complaint to the National Supervisory Authority or to lodge an appeal with the court.
